Tintinara CC t/a 4Ren6 ("we", "us", or "the Company") is committed to protecting the privacy and personal information of our customers in compliance with the Protection of Personal Information Act 4 of 2013 ("POPIA"). This Privacy Policy explains how we collect, use, store, share and protect your personal information.

To process and fulfil your orders and provide our services, we collect the following personal information:

  • Full name and surname;

  • Email address;

  • Physical delivery address;

  • Contact telephone number;

  • Billing and payment information (processed securely via our payment gateway);

  • Order history and transaction records;

  • IP address and website usage data (collected via cookies – see Cookie Policy below).

 

We do not collect sensitive personal information (as defined in POPIA, including health, financial or biometric information) unless specifically required and with your explicit consent.

2. Lawful Basis for Processing

We process your personal information on the following lawful grounds in terms of POPIA:

  • To fulfil our contractual obligations to you in processing and delivering your order;

  • To comply with our legal obligations, including tax and financial record-keeping under the Income Tax Act 58 of 1962 and the Value-Added Tax Act 89 of 1991;

  • To pursue our legitimate business interests, including fraud prevention, website improvement and customer service;

  • With your consent, to send you marketing communications.

 

3. How We Use Your Personal Information

We use your personal information strictly for the following purposes:

  • Processing, confirming and dispatching your orders;

  • Communicating order updates, shipping notifications and tracking information;

  • Responding to your queries and customer service requests;

  • Complying with tax laws, financial auditing and regulatory obligations;

  • Detecting and preventing fraud and unauthorised transactions;

  • Improving our website, products and services;

  • Sending marketing and promotional materials, but only if you have explicitly opted in to receive such communications. You may opt out at any time.

 

4. Sharing with Third Parties

We do not sell, rent or lease your personal information to any third parties. We share your personal information only with the following trusted service providers who are essential to the operation of our business and only to the extent necessary:

  • Payment gateway: Ikhoka (or such payment provider as may be in use from time to time) – for secure payment processing;

  • Courier partners: PostNet and/or other courier service providers – for order delivery;

  • IT and website hosting service providers – for website maintenance and security;

  • Accounting and tax service providers – for financial compliance.

 

All third-party service providers are contractually bound to process your personal information in accordance with POPIA and to implement appropriate technical and organisational security measures.

We may also disclose your personal information where required to do so by law, court order or a regulatory authority, including the South African Revenue Service (SARS).

 

5. Special Note: Drug and Alcohol Test Kit Purchases

We note that the purchase of certain Products (alcohol test kits, cotinine test kits and THC test kits) may be considered sensitive in nature. We treat all purchase records with strict confidentiality. We do not share your order history with any employer, government authority, insurer or other third party unless we are legally compelled to do so by a court order or applicable law.

 

6. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, alteration or disclosure. These measures include:

  • Secure Sockets Layer (SSL) encryption on all data transmitted through our website;

  • Secure payment processing through our payment gateway – we do not store full credit card details on our systems;

  • Password-protected internal systems with restricted access on a need-to-know basis;

  • Regular security assessments of our systems and processes.

 

In the event of a data breach that poses a risk to your rights, we will notify you and the Information Regulator as required under POPIA.

 

7. Data Retention

We retain your personal information for as long as is necessary to fulfil the purposes for which it was collected, including:

  • Order and transaction records: five (5) years from the date of the transaction, in compliance with the Companies Act 71 of 2008 and tax legislation;

  • Customer account information: for the duration of your relationship with us and for a reasonable period thereafter;

  • Marketing consent records: until you withdraw your consent.

 

Upon expiry of the relevant retention period or upon your valid request for deletion, we will securely delete or anonymise your personal information, subject to any overriding legal obligations. 

 

8. Your Rights Under POPIA

As a data subject under POPIA, you have the following rights:

  • The right to access the personal information we hold about you;

  • The right to request correction of inaccurate, incomplete or outdated personal information;

  • The right to request deletion of your personal information (subject to our legal retention obligations);

  • The right to object to the processing of your personal information;

  • The right to withdraw consent to marketing communications at any time;

  • The right to lodge a complaint with the Information Regulator of South Africa if you believe we have infringed your rights under POPIA.

9. Cookie Policy
